This includes webinar hosts, presenters, account owners, administrators, registrants, attendees, subscribers, viewers, and other participants.

2. Who uses Joinlive

Joinlive is a webinar and live-streaming platform built for virtual and hybrid events, including webinars, online meetings, training sessions, product demonstrations, online courses, and other live or recorded experiences.

Different types of users may interact with Joinlive in different ways.

2.1 Hosts and account owners

A “Host” is a User who creates, manages, presents, broadcasts, records, or administers a webinar, meeting, live stream, replay, registration page, landing page, email campaign, or other online session through Joinlive. A Host may be an individual, business, educational institution, nonprofit, association, agency, or other organization.

Hosts may control the content of their webinar pages, registration forms, emails, webinar settings, attendee communications, recordings, replays, chat, Q&A, polls, documents, offers, and other session features.

2.2 Presenters, moderators, and team members

A Host may invite presenters, moderators, co-hosts, employees, contractors, or other team members to access or manage parts of the Host’s account or webinar. These Users may provide account, profile, session, audio/video, chat, Q&A, poll, document, or other content through the Service.

2.3 Registrants, attendees, viewers, and subscribers

A “Participant” is a User who registers for, attends, views, interacts with, subscribes to, or otherwise participates in a webinar, meeting, training session, replay, live stream, or other online session through Joinlive.

Participants may provide information directly to Joinlive or to a Host through registration forms, attendance, chat messages, Q&A, polls, feedback, surveys, offers, comments, replay access, and other interactive features.

 

3. Personal Data we collect

“Personal Data” means information that identifies, relates to, describes, can reasonably be associated with, or could reasonably be linked to a person, household, or device, depending on the applicable law.

The Personal Data we collect depends on how you use the Service.

3.1 Account and profile data

When you create or update an account, register as a Host, join a Host’s team, or use account features, we may collect information such as:

  • name;
  • email address;
  • password or authentication credentials;
  • account identifier;
  • business or organization name;
  • role or title;
  • profile photo or avatar;
  • phone number, where provided;
  • billing or account-administration details;
  • preferences and notification settings; and
  • any other information you choose to provide in your account or profile.

3.2 Webinar and session data

When you create, host, present, register for, attend, view, or interact with a webinar, live stream, meeting, training session, replay, or other session, we may collect information such as:

  • webinar or session title, description, date, time, duration, and settings;
  • host, presenter, moderator, and team-member details;
  • registrant and attendee names and email addresses;
  • registration form responses and custom question answers;
  • attendance, join time, leave time, replay access, and engagement data;
  • chat messages, Q&A, comments, reactions, and other interactive content;
  • poll questions, poll responses, and poll results;
  • offers, links, calls-to-action, and related engagement data;
  • documents, slides, images, or other materials uploaded or shared through the Service;
  • webinar recordings, replays, transcripts, captions, or related media if enabled;
  • technical session information, such as connection quality, browser, device, and troubleshooting logs; and
  • other content or metadata generated through use of webinar features.

3.3 Audio, video, and real-time communication data

Joinlive is built on a custom Joinlive engine using Daily.js-powered real-time audio/video functionality. When you join or host a live session, the Service may process information necessary to connect you to the session and provide browser-based audio, video, screen sharing, and related live-session functionality. This may include:

  • audio and video streams transmitted during a live session;
  • screen-share streams, if you choose to share your screen;
  • device and browser details;
  • microphone, camera, and speaker settings;
  • connection quality and diagnostic information;
  • IP address and approximate location inferred from IP address;
  • participant identifiers and session access tokens; and
  • live-session metadata needed to operate, secure, diagnose, and improve the Service.

Joinlive is operated by Eventzilla on its own custom-built platform and uses Daily.js-powered real-time communication functionality to support live audio, video, and related session features.

3.4 Payment and billing data

If you purchase a paid Joinlive plan or other paid services, we may collect billing-related information such as name, billing address, subscription plan, invoice details, payment status, transaction history, tax information, and other information needed to administer your account.

Payment-card information is provided directly to our payment processing provider. Joinlive does not collect or store sensitive cardholder data such as full credit card numbers or card authentication data, except to the extent handled securely by our payment processor on our behalf.

3.5 Communications and support data

If you contact us for support, technical assistance, billing assistance, sales enquiries, demos, complaints, or other questions, we may collect your contact information, messages, attachments, support history, diagnostic data, IP address, browser/device information, and other information you provide or that is needed to respond to your request.

3.6 Data collected automatically

When you access or use the Service, we and our service providers may automatically collect certain information, including:

  • IP address;
  • device type and identifiers;
  • browser type and version;

  • referring and exit pages;

We may receive Personal Data from Hosts, Participants, other Users, payment providers, authentication providers, webinar integrations, video or streaming service providers, analytics providers, support providers, and other third parties or integrations that you or a Host choose to use with the Service.

For example, a Host may import or enter a list of registrants, invitees, subscribers, or attendees into Joinlive and use Joinlive to send invitations, confirmations, reminders, follow-ups, replay links, or other communications.

 

4. Host-controlled data and Joinlive’s role

Joinlive may act either as a data controller or as a data processor/service provider, depending on the circumstances.

4.1 When Joinlive acts as a controller

Joinlive generally acts as a controller for Personal Data we collect and use for our own business purposes, such as:

  • account creation and administration;
  • billing and subscription management;
  • security, fraud prevention, and abuse monitoring;
  • product analytics and Service improvement;
  • customer support;
  • direct communications with Hosts and account owners;
  • legal compliance; and
  • our own marketing communications where permitted by law.

4.2 When Joinlive acts on behalf of a Host

When a Host uses Joinlive to collect registration information, manage attendees, send emails, host webinars, record sessions, collect chat/Q&A/poll responses, provide replays, or analyze session performance, Joinlive generally provides tools to the Host and processes Personal Data on the Host’s behalf.

In those circumstances, the Host typically determines:

  • what webinar or session to create;
  • what registration questions to ask;
  • what attendee information to collect;
  • whether to enable chat, Q&A, polls, offers, recordings, replays, or other interactive features;
  • what communications to send to Participants;
  • how long to make recordings or replays available; and
  • how to use webinar reports, attendee data, and engagement analytics.

Participants should review the privacy notices and policies of the relevant Host before registering for or attending a webinar. 5. How we use Personal Data

We may use Personal Data for the following purposes:

5.1 To provide and administer the Service

We use Personal Data to create accounts, authenticate Users, provide webinar and live-streaming functionality, process registrations, deliver landing pages and forms, enable live audio/video sessions, enable chat/Q&A/polls, store recordings and replays, send service emails, process payments, manage subscriptions, and otherwise operate the Service.

5.2 To facilitate Host communications

Hosts may use Joinlive to send communications to Participants, invitees, subscribers, or other contacts, including invitations, confirmations, reminders, access links, follow-up emails, replay links, feedback requests, and other webinar-related communications.

When we send these communications on behalf of a Host, the Host is responsible for the content of the communication and for ensuring it has the right to contact the recipient.

5.3 To provide support and respond to enquiries

We use Personal Data to respond to support requests, troubleshoot issues, investigate errors, provide technical assistance, respond to billing questions, and improve support quality.

5.4 To secure and protect the Service

We use Personal Data to detect, prevent, and address fraud, spam, abuse, unauthorized access, security incidents, violations of our terms, and technical issues.

5.5 To analyze and improve Joinlive

We use usage data, analytics, session statistics, product analytics, feedback, and support information to understand how the Service is used, improve performance, fix bugs, develop new features, and make the Service more useful for Hosts and Participants.

5.6 To personalize and configure the experience

We may use Personal Data to remember preferences, manage notification settings, maintain session state, customize account settings, and provide a more relevant user experience.

6.1 With Hosts and account owners

When you register for, attend, view, or interact with a webinar or session, we may provide the Host or account owner with information related to your registration, attendance, participation, engagement, chat, Q&A, poll responses, survey responses, replay access, and other session activity.

A Host may download, export, copy, or otherwise use data made available through the Service. The Host’s use of that data is governed by the Host’s own privacy practices.

6.2 With other webinar participants

Depending on the Host’s settings and the features used, certain information may be visible to other participants, such as your display name, profile image, chat messages, Q&A submissions, questions, comments, poll participation, reactions, audio, video, or screen share.

If a session is recorded, your audio, video, screen share, display name, chat messages, Q&A, or other participation may be included in the recording or replay depending on the Host’s settings and how you participate.

6.3 With service providers and subprocessors

We rely on third-party service providers and subprocessors to operate, secure, support, analyze, and improve the Service. These may include providers of hosting, infrastructure, real-time audio/video functionality, content delivery, email delivery, support tools, payment processing, analytics, product analytics, security, error monitoring, and related services.

These providers are authorized to use Personal Data only as necessary to provide services to us or as otherwise permitted by applicable law and their agreements with us.

6.4 With payment providers

If you purchase paid services, we may disclose billing and transaction-related information to payment processors and financial service providers to process payments, manage subscriptions, prevent fraud, handle disputes, and comply with legal and tax obligations.

6.5 With integrations and third-party platforms

If you or a Host choose to connect Joinlive with a third-party platform, embed third-party content, use YouTube or Vimeo video features, use a third-party calendar, CRM, streaming, payment, or other integration, we may share information as needed to enable that integration. 6.6 For legal, safety, and compliance reasons

We may disclose Personal Data if we believe disclosure is necessary or appropriate to:

We may disclose Personal Data with your consent or at your direction.

 

7. Recordings, replays, shared content, and public features

Joinlive may allow Hosts to enable features such as recordings, replays, chat, Q&A, polls, offers, documents, slides, downloadable resources, public landing pages, and subscriber notifications.

If you participate in a webinar or session, your contributions may be visible to the Host, presenters, moderators, other participants, or replay viewers depending on the Host’s settings and the feature used. For example:

  • chat messages may be visible to the Host, moderators, or other participants;
  • Q&A submissions may be visible publicly or privately depending on settings;
  • poll responses may be collected and reported to the Host;
  • your name, email, attendance, and engagement data may be reported to the Host;
  • uploaded or shared content may be visible to attendees or replay viewers; and
  • audio, video, screen sharing, chat, Q&A, and other content may be included in a recording if the session is recorded.

Even after an account is terminated or content is deleted from Joinlive, some information may remain available if it has already been copied, downloaded, exported, recorded, shared, posted to a third-party platform, included in a replay, or retained by a Host or another User outside the Service.

 

8. Cookies and similar technologies

We use cookies and similar technologies to operate the Service, protect forms from spam, remember preferences, provide support functionality, embed content, measure usage, and improve the Service. 9. International transfers

Eventzilla Corporation is based in the United States. If you access or use Joinlive from outside the United States, your information may be transferred to, stored in, or processed in the United States and other countries where we or our service providers operate.

Where required by applicable data-protection laws, we use appropriate safeguards for international transfers, which may include standard contractual clauses, data-processing agreements, or other lawful transfer mechanisms.

We retain Personal Data for as long as reasonably necessary to provide the Service, maintain accounts, support Hosts and Participants, comply with legal obligations, resolve disputes, enforce agreements, prevent fraud or abuse, maintain security, and pursue legitimate business purposes.

Retention periods may vary depending on the type of data, the account settings, the Host’s choices, the nature of the Service, legal requirements, and operational needs.

If you close your account or request deletion, we may delete, anonymize, or restrict certain information, subject to applicable law and legitimate retention needs. Some information may remain in backups, archives, logs, exported reports, recordings, replays, Host-controlled systems, or third-party platforms for a period of time.

 

12. Security

We use administrative, technical, and organizational measures designed to protect Personal Data against unauthorized access, alteration, disclosure, or destruction. Sensitive and private data exchanges with the Service are protected using industry-standard encryption in transit where appropriate.

We do not control third-party websites or services and are not responsible for their privacy practices.
